How to Set Up Your First Appointment Booking System

April 2, 20256 min read

Appointment booking is the most common use case for service businesses. Here's exactly how to configure availability, staff assignments, and buffer times in AudraBooking.

If you run any kind of service business — a consultancy, medical practice, salon, or coaching practice — appointment booking is the backbone of your operation. AudraBooking's Appointment type is purpose-built for 1:1 sessions, and this guide covers every setting you need.

Creating an Appointment Campaign

Navigate to Campaigns → New Campaign and select Appointment as the type. Key fields to fill in:

  • Duration — How long is each session? Set in minutes.
  • Buffer Time — Padding between back-to-back bookings to prevent rushed handoffs.
  • Advance Booking Window — How far in advance can clients book? (e.g., 30 days).
  • Cancellation Policy — Minimum hours before the appointment that a client can cancel.

Setting Staff Availability

Go to Staff → [Staff Member] → Availability. Set their working hours per day. These hours are used to calculate available appointment slots in the booking widget automatically.

Assigning Staff to a Campaign

In your Campaign settings under the Staff tab, assign one or more staff members. When multiple staff are assigned, the system shows availability across all of them and lets clients choose (or auto-assigns the next available).

Enabling Google Calendar Sync

Under Settings → Calendar, connect Google Calendar or Outlook. Once connected, booked appointments appear on your calendar automatically, and existing calendar events block out booking slots in real time.

Custom Fields

Need to collect specific information at booking time? Use the Custom Fields builder in your Campaign to add text, dropdown, or checkbox inputs — a great way to collect intake information before a client arrives.

Appointment booking in AudraBooking is designed to be zero-friction for both the business owner and the client. Set it up once, and it runs itself.
